Position Summary: | Primary on-site administrative position. Expected to engage prospective and current guests with the goal of providing an optimal customer service experience, including the accurate inputting of reservations and completed sales into the POS systems. |
MAJOR DUTIES AND RESPONSIBILITIES
This position has a variety of duties stemming from being the main administrative position located at He’eia State Park:
- Responsible for providing superior customer service to guests, whether it be on the phone, in person, via email, or through other means of communication
- Responsible for handling calls and email inquiries regarding state park banquet hall rentals and waterfront activities
- Provide clear communications with guests obtaining all necessary information for making reservations and planning logistics, which includes assisting customers in properly completing all paperwork required for the selected activity or transaction
- Respond back to emails and phone inquiries within 24 business hours
- Ability to sell services (rentals, activities, and retail) effectively to guests from a variety of cultural backgrounds
- Ability to learn various POS systems and keep accurate, daily record of all sales transactions
- Manage online bookings for both banquet hall and waterfront activities via web-based booking systems
- Regularly ordering and managing inventory of various products from various companies that supply the park
- Supports Operations and Activity Managers to effectively manage banquet hall and waterfront activities
- Will be familiar with immediate area and attractions (including points of interests and entertainment) to provide local information to visitors
- Coordinate with other reservationist on existing bookings and sales
- Able to manage guests and their bookings including coordinating changes, upgrades, and add-ons, or cancellations
- Manage the inventory, presentation, organization, and cleanliness of the state park office, gift shop, and banquet hall
- Assist the activities personnel on bookings and other “as needed” arrangements necessary to coordinate guest participation
- Orders office supplies as needed through the corporate office
- Keep an organized portfolio of media related to banquet hall rentals for weddings, parties, etc.: photos, marketing materials, banquet hall specs, contact info of preferred vendors and affiliates, etc.
- Network and build relationships with wedding and event coordinators, planners, and other vendors for the purpose of generating new bookings for the banquet hall, and also to provide banquet hall renters with those services
- Interact with volunteer groups that would provide community support project assignments
- Monitor social media platforms associated with the park and its services or programs and keep all platforms current with relevant postings or appropriate responses to customer reviews
- Additional hands-on duties as assigned by He’eia State Park manager, some of which will be outdoors and active
MINIMUM QUALIFICATIONS:
- Applicant must have a valid driver’s license and have a High School Diploma or GED Equivalency
Must have at least 2 years customer service experience or similar in working directly with customers with a preference for direct sales, in a fast-paced environment
Computer experience in basic Microsoft software and reservation and retail systems OR the ability to quickly learn such systems
2 years or more experience in handling a variety of currency transactions including cash and credit cards. Must be able to reconcile and balance deposits and cash drawer
SKILLS AND ABILITIES REQUIRED:
- Must possess strong interpersonal communication skills and a willingness to always engage external and internal customers in a warm, friendly manner
- Must possess strong verbal, written, analytical, presentation and interpersonal skills
- Ability to organize, manage and control workflow; ability to meet deadlines
- Ability to work on multiple projects at the same time, without compromising work quality, multitasking
- Ability to work with multi-line phones
- Ability to formulate policies and procedures as supervised by direct manager or supervisor
- Ability to communicate oral and written instructions and communications and ensure that they are followed-up to completion
- Ability to keep records, write clear and concise reports
- Must demonstrate qualities of leadership and/or initiative, be self-motivated to achieve goals
- Ability to take new ideas, suggestions or concepts, develop and implement them
- Must have and maintain a current State of Hawaii drivers license
- Must be finger printed and pass drivers abstract
ESSENTIAL FUNCTIONS:
- Physically must be able to lift at least 40 pounds, and be comfortable working on your feet, including standing for a duration of up to 4 hours, as well doing a significant amount of walking around the park grounds and hall
- Must possess the communication skills—verbal and non-verbal—necessary for providing superior customer service to guests from various cultures and backgrounds
- Must be comfortable talking to people and providing customer service in person, over the phone, and by email
- Must be able to answer a multi-line phone
- Speak and write English fluently
- Must be comfortable and willing to embrace rustic state park office condition
